  • Job Summary:

    This is a professional position involving working in a wide range of administrative and clerical tasks. Must be able to work with and offer

    support to a team of executive staff and deliver quality customer service to customers and providers.


  • Essential Functions:

    • Establish and maintain positive working relationship with HFC customers
    • Maintain calendars, arrange meetings, interviews and other obligations as well as make travel arrangements for the Chief Officers as needed
    • Attend meetings as directed, take minutes and produce a report of minutes to appropriate participants
    • Coordinate meeting details for the monthly HFC Board Meetings, prepare board packets for the board, and prepare minutes
    • Prepare and send out correspondence letters, faxes, and forms as requested
    • Act as coordinator of conference room scheduling for all HFC staff
    • Receive, open, date stamp and distribute mail for all staff; distribute mail for Chief Officers and departments
    • Route all calls coming into main switchboard for the organization
    • Provide phone coverage as requested and offer support to the HR Director for employee events and large meetings
    • Communicate and confirm attendance for the monthly Parent Advisory Council (PAC) Meetings
    • Greet and direct customers appropriately within the agency
    • Provide support to the Executive Management Team as requested
    • Assist with ordering office supplies
    • Perform special projects as requested

  • Qualifications Required:

    High School Diploma or GED equivalent required.

  • Qualifications Preferred:

    Associate's degree in a related field OR degree in any field with customer service, public relations and child welfare experience; two years related office experience with at least one year experience in the child welfare system, public relations and customer service and administrative organizational skills and computer literacy are essential; experience with answering a multi-line phones a plus preferred
